Job Description

Primary Purpose:

To coordinate and support administrative financial processes by overseeing cost-related activities, compliance, and reporting, while maintaining operational success and alignment with company policies and objectives.

Key Performance Areas and Responsibilities 

Cost Analysis and Optimisation
• Support the preparation of forecasts and budgets, including cost projections and variance analysis, to provide financial insights that guide strategic decisions and ensure accountability.
• Review and analyse monthly financial reports to ensure alignment with budgets and track key cost-related performance indicators such as cost per unit or process cost.
• Support forecasting, budgeting, and variance analysis while contributing to strategic cost initiatives, advising on best practices in costing and pricing, and maintaining accurate product and operational cost structures.
• Works with operations and procurement teams to validate landed costs and stock movements.

Financial Risk management and Compliance
• Reduce financial and operational risks by applying controls in stock handling, credit checks, asset use, and foreign currency transactions, ensuring compliance with rules and policies.
• Ensure ongoing compliance with statutory requirements, accounting standards, ISO, SHEQ, and internal policies and procedures through regular monitoring, documentation, and comprehensive risk reviews.
• Support the implementation and maintenance of internal financial controls, promoting strong governance and accountability across financial operations, including alignment with credit risk frameworks and company policies.
• Support audit readiness by maintaining accurate records and assisting with audits to ensure compliance and financial reporting transparency.

Operational and Financial Administration
• Coordinate accounts receivable and payable processes, ensuring accurate financial tasks like vendor onboarding, payments, ROE release, and WIP tracking, while guiding admin staff for smooth daily operations.
• Maintain accurate stock control and records through regular reconciliations and reporting of inventory data.
• Coordinate and oversee service level agreements and contracts to ensure alignment with customer requirements and business standards, consulting with compliance where necessary.

Governance and Operational Risk Control
• Maintain the quality management system and proactively mitigate errors and omissions to strengthen operational accuracy and governance.
• Support the preparation and review of contracts and tenders by ensuring financial accuracy, risk mitigation, and alignment with company policies and compliance standards.
• Implement and monitor controls to prevent stock losses and ensure inventory accuracy through proactive reconciliation and risk mitigation strategies.

Job Requirements:

Highest Education:
• NQF Level Eight (8) Honours degree in accounting or related field.

Work Experience:
• Six (6) years proven experience in costing, risk management and compliance.

Other Requirements:
• Proficient in accounting system (Acumatica).
• Proficient in MS packages (Excel and Word, PowerPoint).
• Good knowledge & understanding of OHSE systems and the requirement
• Code 08 driver’s license
